How to Use

Here’s a screenshot showing the options:

To access the settings screen: Deselect everything (Edit>Deselect All) and double click on the script in the scripts palette.

To run: Select the text in your table of contents, and double click the script in the scripts palette. The page numbers will be turned into InDesign cross-references, so they will update automatically. And the chapter names in the TOC will be turned into hyperlinks for EPUB export (if this option is selected).

Understanding the Options in the Preferences Panel

Paragraph Styles section: choose all the paragraph styles that are used for chapter headings throughout your document. For example, you may have one style for regular chapter headings, and another style for end-matter headings (such as an Index or Appendix).

Scope section: If your entire document consists of a single InDesign file, choose “search this document only”. But if your entire document consists of several InDesign files (which may all be part of an InDesign book), open all documents and choose the “Search all open documents” option.

Live Page Number Location section: Here you tell the script which part of each TOC entry is the page number. Normally, this would be the numbers at the end of each TOC entry (first choice). But sometimes, depending on the design, the numbers might be elsewhere. In that case, the script will look for three zeros (000) that you have placed manually anywhere within each TOC entry, and replace them with the live page number (second option).

Location of Chapter Names section: Here you tell the script what part of the TOC entry consists of the chapter name. Normally it will be from the beginning of the line until the first tab character. Some other options are available in the dropdown.

Note that the name of the chapter as it appears in the TOC must be identical to the name of the chapter as it appears in the document, including spaces and punctuation. Otherwise, the script will not be able to link up the TOC entry with its appropriate chapter heading.

Create Hyperlinks checkbox: Select this if you want the chapter names in the TOC to be turned into hyperlinks

Display Error Messages checkbox: Select this if you want to read any messages as they occur. Typical error messages are: (1) the script is not able to find an exact match between the chapter name as it appears in the TOC and as it appears in the document; (2) the same chapter name appears twice in the document; (3) the script is unable to figure out where to place the live page number.

    Hi,
    perhaps your live toc can be useful for me.
    However, when I create a TOC in indesign with automatic numbering in levels (1., 1.1, 1.2, … 2., 2.1, 2.2, 2.2.1, 2.2.2, …) only the numbers of the first two levels seem to get translated into an E-Book (using Indesign CS6).
    Of the third level indesign carries the indentation into the e-book but loses the leading numbers. However, I do have a third level.
    Does the numbering of the third level translate into an E-Book when I use your live toc?
    Last time I helped myself by using the three numbering levels in Indesigns TOC, but by hardcoding the numbers in the headers, using hard coded spaces to separate the numbers from the text of the header. So indesign translated the levels (indenting and stuff) while I had to hardcode the numbers into the headers, because otherwise the numbers of the third level would not show up in the TOC of the e-book.
    Needless to say that any additional chapter whould through my numbering. I had to change the hard-coded numbes all over.

    I guess, I download an try your livetoc and let you know.
    I suspect though that if indesign does not translate the numbers of a third level into the epub, your LiveToc won’t make indesign do it either. Most likely, it will show in indesign okay (as it does now with CS6) but will not show later in the epub.

    Hi Ariel!
    I seem to be having issues with v1.9.7 (it’s not creating hyperlinks properly). I’ve not used it for a few months, and ID has been updated to v15.0.2. Is there an update for LiveTOC that resolves new issues?

      Hi Dave,
      There are no issues that I’m aware of with LiveTOC and InDesign 2020 (15.0.2, or 15.0.3 which is being rolled out as we speak). I use it frequently and have not encountered any problems.
      One thing to check, perhaps: In InDesign’s Find/Change dialog, there is a now an option to set the search direction “Backward.” That could cause problems, so make sure that that is set to “Forward” (both for GREP searches and regular searches) before running LiveTOC.
      If that does not solve your problem, then it is probably just something with the options you’ve chosen in the LiveTOC options dialog. To troubleshoot, make sure “Display Error Messages” is checked in LiveTOC, as that can be helpful in locating a mismatch between the table of contents and the text in the book itself.
      If you’re still running into trouble, I’ll be happy to continue troubleshooting by email.

      LiveTOC creates hyperlinks (for ePub and PDF export), but it doesn’t currently create InDesign bookmarks. Having said that, it would be a very easy feature to add, so if you need that functionality, get in touch and I’ll see if I can help!

    I design a lot of books where the TOC as provided by the client does not exactly match the chapter headers inside the book. Can I edit the text generated by the script but still have it auto-update page numbers?

      Hi Gilly,
      Once LiveTOC has converted the page numbers into live InDesign cross-references that update automatically, you can certainly edit the TOC entries as you like and the page numbers will continue to update automatically.
      One comment though: You say, “the text generate by the script.” In fact, LiveTOC does not generate any text. You supply the TOC text — either it comes from your editor, or you type it in manually, or, of course, you can use InDesign to generate the TOC text. LiveTOC then reads the TOC and converts the page numbers into live links — so it does not actually generate the TOC itself. Just thought I’d clarify that.

    Thanks for the quick reply, Ariel! I’d love to get the 30 Day Trial if possible. I have a need for combined course content into new courses on a regular basis, so page numbers change all the time. I have a few thousand pages in total, so it’s quite a deal to do it manually. LIVETOC seems to be the only game in town, but I’d like to be super sure before getting it.

    I am trying to assess LIVETOC from the Trial Download. When I try to run it all I get is DEMO where the page number should be. Am I missing something? Is this how the Trial should work, or am I missing something? At the moment it’s hard to assess the effectiveness if all I get is a 4 letter word where I would hope a page number should be.

      Hi Dave,
      You’re supposed to get 5 live cross-references, and the rest will say DEMO. But I tried it just now, and I’m also only getting DEMO, so maybe something’s broken with the trial version — I’ll have to look into it.
      On the other hand, if you’re getting the word DEMO, that’s good — in the full version this would be a live, automatically updating cross-reference to the page in question.
      I can suggest one of two things: You may purchase the full version to evaluate it properly.     Hi John,
    The latest version of the script (which you have), does in fact ignore soft returns. But not non-breaking spaces or punctuation.
    I will definitely make a note of this, as I think it would be a useful addition (perhaps adding a “strict” mode as well, for those who prefer a strict match).
    I did have a quick go at doing this, but saw that it’s more difficult than I initially thought.
    I’ll let you know if and when there’s an update.

    I use the script a lot and it works really well when the chapter title in the text and TOC match. But a lot of times I use it to add numbers to a list of figures in the TOC and it misses a lot of instances because of punctuation. A lot of times I’ll add in soft returns to a caption in the text to get it looking right. Any chance you could add an option to ignore punctuation and returns and non-breaking spaces in order to increase the chance of making a match?
